Archibat HR Asia is looking for a Project Manager for a global design agency who creates way-finding and signage solution for luxury and hospitality brands.

 

KEY RESPONSIBILITIES OF THIS ROLE

 

WAYFINDING & TECHNICAL

* Understand how to read and prepare Wayfinding plans

* Finding the relevant plans for Wayfinding

* Reviewing all information on the project, and preparing a mini brief to Design Team

* Finding Elevations, Renderings, Materials for each Sign type

* Review or Prepare Technical Drawings

* Understand how to read and prepare Wayfinding plans

* Finding the relevant, required plans for Way-finding

 

STUDIO SCHEDULING

* Coordinate the morning Huddle each day to ensure designers know required tasks and deadlines

* Update the Studio Schedule Smartsheet each morning (ensuring you have always logged at least day ahead for the Sydney team)

* Ensure all team members keep their timesheets up-to-date on a daily basis

* Support PMs in data entry for the Smartsheet Deadline Board

* Keep the Travel Calendar accurate and up-to-date, logging travel for all team members

*  Monitor the schedule to ensure the design team keep to deadlines and understand expectations (especially as Snr PMs and Head of Design travel regularly)

 

PROJECT SUPPORT

* Translation of design files, emails, and client comments  

* Review all information on the project, and preparing a brief to Design Team

* Find Elevations, Renderings, Materials for each Sign type

* Update Project Details in Traffic

* Update the running Scope of Work document for all projects

* Update the Project Status Document for all brand/clients (monthly)

* Ensure Filing is done correctly on Server and in Binders

* Review all information on the project, and preparing a mini brief to Design Team

* Find Elevations, Renderings, Materials for each Sign type – as needed

* Update Contact Reports

* Update Contact Lists

* Update Project Details in Traffic

* Ensuring Filing is done correctly on Server and in Binders

* Support Snr PMs with travel arrangements

 

CLIENT LIAISON

* Communicate and liaise with the client as required by Snr PMs

* Support Snr PMS on client liaison whilst they are travelling

* Maintain an understanding of client correspondence and requests relating to projects

* Take on client liaison when Snr PMs are travelling or on leave  

 

FINANCIAL ADMIN

* Keep Monthly Billings Smartsheet up-to-date on a weekly basis

* Produce Fapiaos and payment applications

* Liaise with Finance teams on Debtors updates and required actions

* Chase up payments with clients

* Process team Travel expenses claims

* Learn long term forecasting
