Job description

We’re looking for an enthusiastic FF&E Librarian to join our Shanghai studio, with a special focus on FF&E (Furniture, Fixtures, and Equipment) and material curation. If you’re someone who loves getting into the details—tracking finishes, organizing samples, and making sure every spec is accurate—this role offers a great chance to grow your expertise while playing a key part in our daily design operations.

Responsibilities:
– Own the FF&E documentation process: prepare, update, and maintain specs based on team selections; step in to suggest options for missing or minor items when needed.
– Support materials specification: help with research, documentation, and sourcing alternatives for hard finishes, and handle supplier coordination as required.
– Take charge of the materials library: this is a central part of the job—keep the Shanghai office’s physical library in top shape, from logging new samples and arranging shelving to phasing out outdated materials.
– Act as the bridge with vendors: request and track samples, literature, and pricing, while keeping supplier contact lists up to date.
– Help assemble complete documentation packages, making sure material schedules and FF&E specs are thorough and precise.
– Bring sharp attention to detail: every finish, fixture, and piece of furniture should be clearly documented with no room for misinterpretation.
– Work closely with senior designers, architects, and the broader team to ensure FF&E elements and library resources fit seamlessly into project workflows.
– Keep an eye on industry trends: stay curious about new materials, finishes, and FF&E developments, and bring fresh ideas that can enhance our designs.
– Review and double-check FF&E specs for accuracy, functionality, and alignment with project needs.

Required profile

– A degree or diploma in a relevant field.
– Basic knowledge of interior design, materials, and finishes, with a genuine interest in FF&E.
– Comfortable communicating in English with our headquarters team.
– Highly organized and detail-focused: you enjoy precision in specs and take pride in maintaining a tidy, logical library system.
– Proficient in CAD—mainly for reviewing drawings, checking dimensions, and confirming that furniture and FF&E pieces work within the space (not heavy drafting).
– Familiarity with SketchUp is a plus; any experience with it will be an advantage.
– A collaborative spirit: you enjoy working with others in a creative, team-oriented environment.
– Good spoken English and Mandarin to communicate easily with both the design team and local vendors.
– Keen to learn: you’re excited to keep up with industry shifts and deepen your knowledge of materials and FF&E over time.
